What to prepare before implementing a CRM

Clarify the process and responsibilities before adding automation.

Map today's process

Follow a recent enquiry through to a win or loss. Record stages, owners, next actions and the reason for each stage change. Resolve conflicting definitions within the team before configuring the pipeline; software should not conceal uncertainty about responsibility.

Inventory data and access

List enquiry sources, required fields, duplicates and systems to connect. Separate essential information from details that can wait. Agree who may view or change records and what must be retained. Do not submit passwords or exports containing personal data through a public diagnostic form.

Define the first version

Choose a small flow, such as receiving and assigning an enquiry. Specify failure handling, who checks notifications and how duplicates are prevented. Importing the entire database and implementing every automation should not be assumed part of the first phase.

Test with the users

Use synthetic data for successful, lost, duplicate and incomplete enquiries. Check access permissions and export, then plan training and appoint an internal owner. An installed CRM is not an adopted process; evaluation should include how the team uses it.
